BioNexus KC

The KC region is a global leader at the nexus of human and animal health, inspiring thinkers from diverse disciplines to combine their efforts for a common purpose — healthcare innovation. For 25 years, BioNexus KC has been advancing the region’s strengths in digital health, cancer research, health equity, informatics, and rare diseases.

BioNexus KC stimulates collaboration, accelerates emerging technology from concept to reality, and creates opportunities at the nexus of:

The organization has ten full time employees and serves over 300 partner organizations. All employees will use Salesforce.

 

Program: KC BioHub

The KC BioHub is a consortium of more than 100 local non-profits, institutions of higher education, local governments, startups, and industry partners within the greater Kansas City region (stretching from McPherson and Manhattan, KS to Columbia, MO) that work together to grow our regional biologics and biomanufacturing capabilities. The consortium has led the effort to designate Kansas City as a Regional Technology and Innovation Hub. The KC BioHub consortium is a program of BioNexus KC.

 

Program: Digital Health KC

Digital Health KC is a community initiative that seeks to build organizations and companies to solve healthcare’s biggest challenges `through the power of healthcare and information technology.

Our mission is to revolutionize healthcare delivery in the Kansas City region through cutting-edge technology and collaboration.

We explore the transformative potential of digital health solutions and our commitment to achieving positive outcomes for our community.

 

Objective of the RFP

BioNexus KC is seeking to hire an experienced Salesforce consultant to improve its current Salesforce Nonprofit Success Pack (NPSP) setup and enhance its overall functionality, automations, and processes. The goal is to streamline operations, enhance reporting, and improve user adoption and data quality.

Specifically, the consultant will:

-Assess the current Salesforce NPSP environment and identify opportunities for improvement.
-Implement new Salesforce features and functionalities that align with nonprofit best practices.
-Develop and deploy custom automations, processes, and workflows to streamline operations.
-Provide hands-on support and training to staff during the implementation phase.

 

Scope of Work

The consultant will work closely with our team to address the following key areas:

Assessment and Recommendations

-Current System Evaluation: Review our existing Salesforce NPSP setup, including objects, fields, workflows, automations, and integrations, to identify inefficiencies, gaps, or areas for improvement.
-Best Practices Review: Provide recommendations based on nonprofit Salesforce best practices.
-Optimization Recommendations: Recommend and document improvements for data management, reporting, and automation.

 

System Configuration and Customization

Process Automation: Design and implement automations, including:

-Funder/Constituent engagement workflows
-Constituent management and processing
-Program management (participant tracking, engagement, monitoring commitments, etc.)
-Consortium management workflows

Reporting and Dashboards: Enhance or create new reports and dashboards to provide meaningful insights into fundraising, program, and financial data.

Data Quality and Integrity: Ensure that the system is optimized for data accuracy and quality. Ensure data and system are optimized for integration with Tableau for data display.

User Interface Customization: Customize page layouts, fields, and record types to improve user experience and ease of data entry.

Training & Documentation: Provide user training and documentation on new processes, automations, and system changes.

Ongoing Support and Maintenance:

-Provide post-implementation support to ensure successful adoption and address any issues that arise.

-Offer recommendations for ongoing maintenance and improvements.

 

Required Skills and Expertise

Proposals should demonstrate the following skills and qualifications:

-Proven experience implementing and optimizing Salesforce Nonprofit Success Pack (NPSP).

-Strong understanding of nonprofit operations and how Salesforce can support fundraising management, programs, and volunteer engagement.

-Experience with Salesforce automation tools (e.g., Process Builder, Flow, and Workflow Rules).

-Expertise in Salesforce reporting, dashboards, and data visualization for nonprofits.

-Salesforce certifications (e.g., Salesforce Certified Nonprofit Cloud Consultant, Salesforce Administrator) preferred.

-Ability to work with a cross-functional team and provide clear communication to both technical and non-technical staff.

-Strong problem-solving skills and attention to detail.

 

Proposal Requirements

Please include the following information in your proposal:

-Consultant Profile: Overview of your experience and qualifications, including a portfolio of relevant Salesforce NPSP projects.

-Approach and Methodology: A detailed description of how you will address the scope of work, including an outline of your process for system evaluation, implementation, and training.

-Timeline: Provide an estimated timeline for the completion of the project, broken down by key milestones (e.g., assessment, design, implementation, training).

-Pricing: A clear pricing structure, including hourly rates (if applicable) or fixed-fee pricing, and a total cost estimate for the entire project. Please also include any optional costs for post-implementation support or maintenance.

-References: Contact information for at least two (2) references from nonprofit organizations who have utilized your Salesforce services, specifically with the NPSP.

-Support and Maintenance: A description of the ongoing support options available after project completion.

 

Evaluation Criteria

Proposals will be evaluated based on the following criteria:

-Relevant experience and expertise in Salesforce NPSP implementations for nonprofits.

-The approach to improving system efficiency, automating processes, and enhancing reporting.

-Cost-effectiveness of the proposal and clear breakdown of pricing.

-Quality of references and past performance with similar clients.

-Proposed timeline and ability to meet deadlines.

Preference will be given to vendors who have relevant industry certifications.

Preference will be given to vendors who have experience working with the Department of Commerce and the Department of Homeland Security.

Preference will be given to vendors located in the KC Region.

-Consultant Selection Notification: February 28, 2025

-Project Start Date: March 10, 2025

-Expected Project Completion Date: May 30,2025

 

Terms and Conditions

-BioNexus KC reserves the right to accept or reject any proposal.

-The selected consultant will be required to sign a contract that outlines the terms of the project.

-All proposals should remain valid for 90 days after the submission deadline.
