Position: Executive Assistant and Office Manager

Summary:
BioNexus KC is searching for an executive assistant with experience in office management. Responsible for complex, high-level administrative support to the President and Chief Executive Officer (CEO) of BioNexus KC and staff members, this position would also coordinate all functions, or be the point person for all functions, related to finance, administration, audit, and human resources.
Nature and Scope:
BioNexus KC is a nearly 25-year-old nonprofit that was created to act as the region’s life science intermediary, convening research organizations and companies to build the region’s research base, maximize the value of the research happening in the region, and accelerate the translation of research to products, services, and companies.
The Executive Assistant and Office Manager is a key position within the organization, reporting to the BioNexus KC President and CEO and providing complex, high-level administrative support. This position will:
– Serve as custodian of corporate documents and records.
– Serve as principal liaison with BioNexus KC Board of Directors and manage meeting coordination and meeting minute documentation.
– Serve as principal contact point for the scientific community, business/civic community, and legislative delegation.
– Manage the corporate finances, coordinate the annual financial audit and preparation of the annual Form 990 tax return, and assist in preparation of the corporate budget.
– Routinely handle confidential correspondence and reports.
– Serve as human resources manager, coordinating benefits program and payroll preparation and submission.
Principal Accountabilities:
– Provide support to the President and CEO. Serve as a liaison between President and CEO, scientific community, and business and government leaders.
– Serve as a resource for the President and CEO for state and federal funding programs; provide information, research, analysis, written reports, and recommendations as needed. Assist with the preparation and submission of grant applications and funding requests.
– Serve as office manager for BioNexus KC.
– Serve as human resources manager, providing support to staff related to benefits, preparing, and submitting payroll.
– Manage financial record-keeping, accounts receivable, accounts payable, procurement process, and cash flow. Manage payroll processing and submission.
– Assist in preparation of the annual budget, reports for funding agencies, funding proposals, business plans, presentations, and other strategic documents.
– Edit draft applications for accuracy, completeness and clarity and submittal of applications in accordance with grant requirements.
– Assist in resolving issues and conflicts with funding agencies.
– Schedule, coordinate, and manage onsite and offsite meetings and events including board of directors’ meetings. Prepare, compile, and send meeting notices, agendas, and meeting documents. Take and transcribe minutes of meetings.
– Coordinate and schedule appointments, meetings, travel, and other pertinent activities of the President and CEO and staff members.
– Compile, analyze, and maintain data and material pertinent to the organization.
– Perform administrative tasks for the President and CEO and staff members.
Education, Experience, and Skills Required:
– Bachelor’s degree or equivalent, unique professional experience.
– IAAP Certification in office technology; office systems and administration; management; and advanced organizational management preferred.
– Must be a strong team player and possess strong organization and communication skills.
– Extensive administrative and technology experience including awareness of, and experience with, cutting edge software solutions for project management, CRM and grant management.
– Strong verbal, written, analytical, and interpersonal skills. Must present a professional and credible image when interacting with outside contacts and internal staff.
– Capacity to make sound, independent decisions and to work with minimal supervision.
– Exceptional ability to schedule, organize, and prioritize. Timely and accurate completion of tasks is essential as is thorough attention to detail. Ability to plan, prioritize and coordinate multiple projects.
– Capability to maintain accurate financial records.
– Capability to maintain confidentiality.
– Knowledge of grant application process and preparation of applications.
– Highly organized with strong project management skills.
– Excellent written and oral communication skills.
– Ability to work under pressure to meet project/grant deadlines.
